Overview

Our completely redesigned Import Tool for schedules and matches is now live!

Built to make importing faster, more accurate, and more flexible, the new tool introduces a staging workflow, auto-detected date and time formats, and built-in duplicate and update detection. To help you get the most out of it, we're publishing a four-part tutorial series. Part 1 is available now and covers Manual Mode: Import New, walking you through creating a Competition and importing schedules and matches into it.

Parts 2 through 4 will follow over the coming days to cover Manual Mode updates, converting from Manual to Synced modes, and updating Synced Mode imports.

What's New:

  • The redesigned tool requires the Competition to be created before your first import, giving each import a clear home

  • Choose your Import Mode (Manual or Synced) right from the Competition settings

What's the Same:

  • Upload your Excel file and use Auto Map Columns to instantly match your columns to Ref Insight fields

  • Map columns manually when needed, and leave empty columns blank

  • Edit any value directly in the Grid preview before importing β€” no need to correct and re-upload your file for minor changes

What's New:

  • Several new columns are now available β€” Match Status, Division, Match Type, Accounting Codes (GL, Department, Program), and Match Report URLs for external match reporting systems

  • Date and time formats are auto-detected during the import

What's New:

  • Manually map sites for accuracy on a first import, or use Auto Detect Site Mappings once your sites are reliably matched

  • View match counts per mapped site, and add missing sites if you have the Site Admin permission

🧩 Import into Staging (Significant Update)

What's New:

  • Matches now import into a Staging area first, so nothing is created until you're ready

  • Review the import banner on each match to see whether it's new, a possible duplicate, or an update to an existing match

  • Create new matches your way β€” review individually, select specific matches, or use Create All New Matches in one click

  • Finalize each batch before starting a new one within a Competition, preventing two files from competing with each other

  • A record of every import is retained under the Competition's Imports section for easy spot-checking

Overview

Ref Insight now includes a new account-level permission: Reserve Officials Admin. When granted, it allows an assignor to accept or decline tournament reservation invitations on behalf of an official. This permission is managed entirely at the account level by Full-Access Administrators, who decide who receives it and can revoke it at any time.

⚠️ Understand What Committing Means

What's New:

  • Accepting an invitation on an official's behalf commits that official to your competition for those dates

  • A committed official becomes unavailable to every other assignor for that window, acting as a blockout across all other Competitions

  • Assignors with this permission should accept on an official's behalf only when they plan to assign matches to them

Hello Assignors and Administrators,

You can now recheck assigning rule violations from the Release Assignments page to see if updates to USSF Licenses, blockouts, or other updates have occurred since an assigning rule violation was found.

Rechecking clears resolved violations as soon as the updated information is available, so tentative assignments can be released.

Three places to recheck:

  • Assignment Release page β€” Expand Currently Not Releasable to see every assignment held up by a violation. Select the officials you want (or use Select All) and click Recheck Selected Violations. Anyone whose violation has cleared moves up into the releasable section.

  • Assigning Workspace β€” Click the Run Rules icon to re-run all assigning rules for the schedule. This clears resolved violations and surfaces any new ones.

  • Individual assignment β€” Open the assignment from assignment focus and click Recheck Violations. If it clears, you can release the assignment right there.

Rechecking also catches violations in the other direction β€” a license that has lapsed since the assignment was made will surface as a new violation.

Please Note:Β When an official completes a requirement like SafeSport certification, there's often a delay before it appears in the U.S. Soccer Learning Center.Β  Ref Insight does not control this delay.Β  There may be another delay before it's pushed to Ref Insight, but we check the Learning Center every 15 minutes to capture new information.

If a license still hasn't made it to Ref Insight, Request Update on the official's USSF Licenses tab pulls their current record from the Learning Center, usually within five minutes.

Ratings are here! You can now define skill or difficulty levels for your officials and matches, and put those ratings to work directly in the assigning process. Full-access administrators build a custom rating scale, apply ratings to officials.Β  Competition Admins can set ratings on schedules within competitions; assignors then see those ratings right in the Assigning Tool to help assign the right official to the right game.

Overview

We have a new feature in the Assigning Workspace to give assignors visibility into changes that have occurred to matches and assignable games. The Workspace Detail Changes section identifies updates so you can stay informed and refresh your workspace details when needed.

Workspace Detail Changes Section - Why we added it

Workspace details are held in cache to increase speed and provide stability while you're assigning. But changes can happen behind the scenesβ€”match dates or times get updated, matches are postponed, canceled, or rescheduled, new matches are added, or your assignor profile changes in ways that affect your assignable matches.

This new section, located between the assignment focus and the workspace, shows you not only if updates have been made, but what those changes are.Β  New Values are flagged by a red warning icon to bring your attention to them.

Check for Updates button - What it does

The Workspace Detail Changes section will update when you refresh your browser or navigate away and return to the page.Β  Click the Check for Updates button to see if any changes have occurred since the page was last loaded.

Best Practice: Check for Updates when you first arrive at the Assigning Workspace and again before leaving.

Refresh Workspace Details button/icon - What it does

Once you've noted the changes, click Refresh Workspace Details to update your workspace. This action refreshes details on both the Matches and Officials sides of the page. Refresh icons have also been added to both sides of the workspace for convenience.

You can now control which full-access administrators receive email notifications when an override request is submitted for an assigning rule violation β€” so notifications go only to the administrators responsible for handling them, rather than everyone with full access.

This setting is off by default. The Ref Insight Team has enabled it for full-access administrators who have historically actioned these requests, but we encourage account administrators to review these selections and make adjustments where necessary.

To update the setting, go to Security > Administrators, locate the relevant full-access administrator, and toggle on or off Receive Override Requests (rule violations) in their settings as needed.

We've expanded manual credential entry to include SafeSport licenses. If an official has completed a background check or SafeSport certification outside of the standard U.S. Soccer Learning Center process, you can now add both directly to their profile.

Manual Background Check Addition

Full-access administrators can manually add background checks directly to a person's profile, including:

  • Background checks from providers external to the U.S. Soccer Learning Center

  • Issue and Expiration dates

  • How the background check was verified

Manual SafeSport Addition

Full-access administrators can manually add a SafeSport license directly to a person's profile, including:

  • SafeSport licenses from providers external to the U.S. Soccer Learning Center

How It Works

Hi everyone,

Seatbelts on.Β  This is a good one.

Our new Pool Builder is one of the most powerful time-saving features we've added to Ref Insight. If you've ever spent hours manually building and maintaining pools β€” tracking down new officials, removing people who moved away, adding referees who just earned a new license β€” Pool Builder can do that work for you, automatically.

What it does: Create a Builder, attach it to a pool, and define your criteria. When the Builder runs, it scans the directory and adds every official (or other user, like Mentor, Referee-Coach, etc.) who meets your criteria. Set it to Active and the bot runs on a schedule you choose, keeping your pools current without any manual effort on your part.

This is especially valuable for staying on top of changes that happen over time β€” officials who are new to your account, referees who have moved to or away from an area, and officials who have earned new licenses or had license changes. Your pools are updated to include new people who meet the criteria, and flag those who no longer meet the criteria, reflecting these changes without you having to manually track any of it.

What you can filter by:

Location: City, State, Zip Code (5-digit, first 4, or first 3), Country, Proximity by drive time or distance to one or more sites

Experience: Years of Experience, Assignment Count (global, account, or account this year), Days on Account, Assigned By (assignor), Declined Count (total or this year)

Qualifications: Tag, License, License Type, Track & Tier, Bank Info on File, Tax Info on File

Demographics: Age, Gender

Administrative: Exclude specific referees from a Builder's results

You can combine multiple criteria within a single Builder β€” multiple criteria within a Builder use AND logic, so officials must meet every filter to qualify.Β  Great for when you want your pool to include two or more things, such as Location AND Experience, or maybe Location AND License level.

Multiple values within a single criterion use OR logic.Β  Great for things like LocationΒ including multiple states, cities, or zip codes.

You can run multiple Builders on the same pool, each with its own set of criteria and running on its own schedule, without them interfering with each other.

Each time a Builder runs, it adds newly qualifying officials and flags anyone who no longer meets the criteria β€” but never removes them automatically. You always have the final say on who stays in a pool.

If your pool already has manually-added members: Use the Manage Member/Builder Association tool to bring those members under a Builder so the bot will consider them on future runs.

A new terminology type, Match Difficulty, is now available for Observer Reports. This addition allows Observers to indicate the difficulty level of a match when completing their observation form, providing valuable context for official performance evaluation.

Assignor Profiles at the Competition level can now be limited by Region β€” making it easier to keep assignor access current as your regions grow and change. No more manual site-by-site updates every time a region is modified.

What's New

  • Regions can be defined within your account and organized however works best for you β€” by state, city, district, or any other grouping.

  • Sites can be placed into Regions, and assignors can then be limited to one or more specific Regions rather than individual sites.

  • When new sites are added to a Region, they are automatically included for any assignor already limited to that Region β€” no profile updates required.

  • Previously, assignors were limited to individual sites (with the Region displayed as a filter aid), but keeping those site lists current as regions changed, or sites were added, was a manual, time-consuming process. This enhancement eliminates that burden entirely.
