πŸš€ New Feature: Revised Assignments & Overlap Protection

Overview

When a match's date, time, or location changes after an official has already accepted it, Ref Insight now handles the re-acceptance cleanly and protects against overlaps. This overview and tutorial are primarily aimed at assignors, but it plays out in the officials' portal too β€” officials will see a clear before-and-after of what changed and can re-accept or decline a modified (revised) match. The tutorial is available in the Knowledge Base for officials as well.

Feature Details

πŸ”„ Revised Assignments (Assignors & Officials)

What's New:

  • When a match's date, time, or location changes, previously accepted assignments return to assigned status and the official is asked to re-accept or decline β€” on those schedules set to require re-acceptance for those changes

  • These land in a new Pending/Revised section of the official's Assignments area, kept separate from new assignments, showing exactly what changed (before and after)

  • Officials can contact the assignor directly from the assignment, and declines require a reason β€” assignors are notified and can see them in the workspace and the Declines report

  • Bundle-aware: a revised assignment becomes standalone β€” 2 or more remaining matches stay within the bundle intact; if the bundle is left with only a single assignment, the bundle dissolves automatically

πŸ›‘οΈ Overlap Protection (Assignors & Officials)

What's New:

  • Officials can not accept a revised assignment that overlaps a match they've already accepted β€” the conflicting match is shown in an Overlapping Assignments area so the reason is clear

  • If the assignor approved the overlap with a justification when assigning, the official can still accept it

  • Assignors can review conflicts in the Assignment Overlaps Report, available from the modified match or under Reports – Overlaps

πŸš€ New Tutorials: Enhanced Account Stats & Removed Users Reports

Overview

Two updates give administrators more visibility into users in your account β€” and better tools to keep the directory current. New columns have been added across the Directory, Account Stats - Assigned by Officials, and Removed Users reports, along with a new way to restore removed users in bulk for when you need to quickly undo bulk disassociations.

Feature Details

πŸ“‡ New Columns in the Directory (Administrators and Assignors)

What's New:

  • A new default Access Type column shows each user's access level (the highest one, if they have several) β€” such as Referee, Observer, Assignor, Regular- and Full-Access Administrator. Click the column header to filter, or use Control Break to group the report by type

  • Display columns for Account Admin (Yes or No), Added, Added By, Last Login (ET), and Invited to Officials Portal to see at a glance whether they've been invited to the portal, and if or when each person activated their account.

πŸ“Š New Columns in Account Stats & Removed Users (Note: Only Full-Access Administrators can disassociate users or restore users)

What's New:

  • On the Account Stats – Assigned by Official page, new columns help you pinpoint who to disassociate: U.S. Soccer expiration dates for Background, SafeSport, and Referee License (an empty date cell means no valid license or certification), plus Admin Access, Future Assignments, current Referee License, and Assignments Year-to-Date.

  • The Removed Users page adds a default Assignments Year-to-Date column, along with access type, total assignments, first and last assignments, last login, and the same U.S. Soccer expiration dates

  • New: restore removed users in bulk with Restore Selected β€” a fast fix if multiple users were disassociated by mistake

πŸš€ New Tutorial: Import Tool Series, Part 4 β€” Import New in Synced Mode

Overview

Part 4 is here β€” the final installment in the Import Tool tutorial series. It walks through starting a brand-new Competition in Synced mode and importing its schedules and matches from scratch.

Setting a Competition up in Synced mode from the start pays off down the road: every future update and change flows in through a new import file, with the tool matching on unique match IDs and showing you exactly what's changed β€” no need to edit match by match. With this release, the full four-part series is now available in the Knowledge Base.

Feature Details

πŸ“₯ Import New in Synced Mode (Full-Access Administrators & Assignors with the Import permission)

What's New:

  • Because Synced mode relies on unique, consistent match IDs, you create the Competition first (with Import Mode set to Synced), then import into it

  • The new template has no Competition column β€” its first column is Schedule, and the Use Excel Column option builds your schedules and sorts matches into them automatically

  • The same staging workflow applies: map, review, and create all new matches in a single click

πŸ› οΈ Finish Setting Up for Assigning

A convenient review of basic items needed before assigning is included with this tutorial:

  • After importing, complete schedule settings, add match roles, and any schedule-level assigning rules

  • Add your assignors explicitly β€” importing matches does not add you as an assignor automatically!

  • Set payors, payment methods, and default game fees per schedule to document payments and track spending
